About the Role
We are looking for a proactive and highly organized part-time Recruiting Coordinator to help Upscale AI attract and hire exceptional talent. In this role, you’ll manage outbound candidate outreach, review inbound applications, coordinate with external recruiting partners, and work closely with hiring managers to build a top-notch team. You’ll play a central role in scaling our organization during an exciting phase of growth.

Key Responsibilities
• Outbound Candidate Sourcing: Identify and engage high-quality candidates through LinkedIn, job boards, networking events, and other sourcing channels. Craft compelling outreach messages that reflect Upscale’s brand and culture. Build and maintain a robust pipeline of passive candidates across key roles.
• Inbound Application Review: Screen and evaluate incoming applications to identify strong fits based on role requirements and team needs. Manage the applicant tracking system (ATS) to ensure timely follow-up and a positive candidate experience. Provide thoughtful recommendations to hiring managers on candidate shortlists.
• External Recruiter Coordination: Serve as the primary point of contact for external recruiting agencies and search firms. Manage relationships, communicate role requirements, and ensure alignment on candidate quality and timelines. Track agency performance and provide feedback to optimize partnerships.
• Interview Coordination & Scheduling: Coordinate and schedule interviews across multiple time zones, ensuring a seamless experience for both candidates and interviewers. Prepare interview materials, gather feedback, and keep the hiring process moving efficiently. Manage logistics for on-site interviews and candidate visits.
• Team Collaboration & Hiring Support: Partner with hiring managers to understand team needs, define role requirements, and develop targeted recruiting strategies. Support offer preparation, reference checks, and onboarding coordination for new hires. Contribute to employer branding initiatives and help refine the overall recruiting process.
Qualifications
• Experience: Minimum of 2 years in recruiting coordination, talent acquisition, or a related HR function, ideally within a startup or fast-paced environment. Proven experience sourcing candidates and managing full-cycle recruiting logistics.
• Technical & Organizational Skills: Highly organized with strong attention to detail and the ability to manage multiple open roles simultaneously.
• Communication & Interpersonal Skills: Excellent written and verbal communication skills, with the ability to represent the company professionally to candidates and external partners. Strong relationship-building skills and a collaborative, team-oriented mindset.
• Problem-Solving: Resourceful and proactive, with the ability to navigate scheduling challenges, shifting priorities, and competing deadlines. Comfortable working in a dynamic, fast-moving startup environment.
