About the Role
We’re looking for an Operations Manager to oversee the full lifecycle of our wholesale deals, from initial order placement through logistics coordination, fulfillment, and delivery for both international and domestic shipments. You will manage order details, track progress, troubleshoot issues, and keep internal and external stakeholders informed to ensure a seamless end-to-end experience. This role works cross-functionally across the sales (buyers & suppliers), operations, and product operations teams.
Key Responsibilities:
Order Lifecycle Ownership
- Manage orders from initiation to completion, understanding buyer and seller requirements to ensure timely and accurate delivery.
- Efficiently handle a complex volume of orders while maintaining high precision and swift execution that supports service-level targets.
- Ensure key deal information is accurately recorded on our platform, HubSpot, and other internal tools, including receiving reports, shipment updates, packing lists, and open action items.
- Ensure alignment across key partners by clarifying timelines, dependencies, and responsibilities upfront, and documenting clearly to prevent repeated questions.
- Quickly adapt and learn in this operations role, supporting various functions across sales, operations, product operations, and brand partnerships.
Logistics Management
- Arrange and coordinate domestic and international shipments by creating necessary documentation, negotiating rates with freight partners, and tracking progress.
- Deliver accurate landed cost estimates and ensure clean customs documentation for international shipments.
Issue Resolution & Process Improvement
- Communicate with internal and external teams to resolve issues, clarify needs, and follow up on next steps, serving as a central point of contact for customers and vendors.
- Reduce shipping and chargeback costs by understanding order requirements, confirming timelines, verifying inventory readiness, and complying with routing guidelines.
- Quickly resolve order issues, identify recurring root causes, propose minor fixes, and share patterns to reduce rework and confusion.
Qualifications
- 4+ years of experience working in logistics, order management, marketplace operations, customer success, or a similar role.
- Proven experience working in a fast-paced operations or retail environment.
- Experience with FTL, LTL, and international shipping.
- An ownership mindset with a desire for a fast-paced startup environment.
- Proficient in Excel, Google Sheets, and an interest in leveraging AI tools.
- Strong attention to detail, ensuring accuracy and excellence in execution.
- Strong follow-up and communication skills, both verbal and written.
- This role is fully onsite in our NYC office, 5 days / week, with as-needed travel to our warehouse in Secaucus, NJ.
Our total compensation for this position can range from $90,000-110,000. The actual amounts may vary based on factors such as experience, knowledge, skills, and abilities related to the position. We value experience and are open to higher compensation for candidates with exceptional skills and background.
